CaddiePro (Pty) Ltd (“CaddiePro”, “we”, “us”) provides tournament management software for golf clubs, societies, and corporate events in South Africa. This policy explains what personal information we collect through the CaddiePro app, how we use it, and the rights you have over it under the Protection of Personal Information Act, 2013 (POPIA).
This policy applies to organisers, markers, players, and spectators who use CaddiePro, whether you sign in with an account or simply view a public leaderboard.
Account & profile information — when you register or are added to a team, we collect your first and last name, email address, a hashed password (or your Google account identifier, if you sign in with Google), club name, gender, phone number, HNA handicap index, and an optional profile photo.
Tournament & scoring data — hole-by-hole scores, group assignments, round results, handicap adjustments, nearest-the-pin and longest-drive entries, and any side-game (wager) configurations and settlement calculations an organiser sets up for their team.
Team & organisation information — team names, join codes, member roles (organiser, marker, player, spectator), and billing/subscription status.
Technical information — session cookies used to keep you signed in, and standard request logs collected by our hosting providers (e.g. IP address, browser type) for security and reliability purposes.
Payment information — subscription payments are processed by Paystack. CaddiePro never sees or stores your card details; we only receive confirmation of payment status from Paystack.
We do not sell your personal information, and we do not use it for third-party advertising.
Your name, club, handicap, and scores are visible to other members of your team (organisers, markers, and fellow players) for the purposes of running the tournament. Public leaderboard and spectator-broadcast pages show player names and scores to anyone with the link, but never your email, phone number, or other contact details.
We share information with a small number of operators who process data on our behalf, strictly to provide the service:
Some of these providers may process data on servers outside South Africa. Where this happens, we rely on contractual and technical safeguards consistent with POPIA's conditions for cross-border transfers.
We keep your information for as long as your account or team remains active, so that historical tournament results and handicap records stay accessible. If you ask us to delete your account, or an organiser removes you from their team and you have no other team memberships, your player record is deleted. We may retain limited records where required by law (for example, billing records).
Passwords are hashed with bcrypt before storage and are never stored or transmitted in plain text. Your session is kept in an httpOnly cookie that JavaScript cannot read. Profile photos are stored in a private Blob container and served only via short-lived, signed URLs. Offline scorecard data is cached only in your own browser's local storage and is cleared once it has been submitted.

Junior players may be entered into tournaments by a parent, guardian, or club organiser. Where a minor is added to CaddiePro, we rely on the organiser or guardian to have the necessary consent to share that minor's name, handicap, and scores for the purpose of running the event.
CaddiePro uses a single essential session cookie to keep you signed in. We do not use third-party advertising or tracking cookies.
We may update this policy from time to time as the service evolves. We'll update the “Last updated” date above when we do, and material changes will be communicated to organisers.
